Job Vacancy - Operations Team Assistant

SwimTrek is the world’s leading open water swimming holiday company and runs tours in over 40 locations in more than 20 countries around the globe.

We're looking for a proactive self-starter to be our new Operations Team Assistant. The Operations Team organises all of SwimTrek’s open water adventures – from recruiting and training guides and organising equipment, to ensuring our trips are run to the highest safety standards.

This key role involves working within the Operations Team under the direction of the Operations Manager to enable our trips to be safe, efficient, memorable, cost-effective and of course fun! You will be starting out your career in the leisure and tourism industry working in a busy and supportive team.


The key responsibilities of the role are:

  • Organising and handling of the general operations administration, including the trip paperwork pre- and post season.
  • Liaising with hotel and agency partners, to ensure that information regarding guides is given in a timely manner.
  • Managing the organisation and overall logistics of equipment. Including getting equipment to/from locations, researching, ordering and stock-taking.
  • Organising location health and safety paperwork (i.e. hotel accommodation audit, daily guide paperwork such as daily risk assessments).
  • Managing travel arrangements for guides to/from location, booking ferries, buses, flights and planning travel budgets with support of the Operations Team.
  • Checking and tracking suppliers' invoices and payments.
  • Assisting the department head(s) with planning and prioritising all operations activities.
  • Supporting event management at selected events.
  • Undertaking guiding and visits to our various trip locations when required.

In addition to the above skills, experience in the travel industry and an interest in swimming would be a recommendation, but not essential for the correct candidate. The list of responsibilities should not be considered exhaustive. You may be required to undertake various other duties as reasonably required.

Working Hours

This is a full time position, working 37.5 hours per week. Our core office hours are between 08:00-18:00, from Monday to Friday, with start and end times flexible depending on operational needs. Occasional weekend and evening work and international travel may be required.
