1. Introduction

Please ensure that the first named person listed on the Booking Form has read and signed the declaration at the bottom of the form. It is the responsibility of this named individual to ensure that each person listed on the booking form has read and agrees to the terms of the Booking Conditions set out below:
Once you have made your reservation, SwimTrek will send you a Booking Confirmation and the following:

• Tour Itinerary
• Arrival & Departure Information
• Meeting point and time.
• Equipment Checklist.
• Training Plan.
• Insurance Requirements.

2. Nature of the Trips
Open water swimming  inherently requires a degree of on-trip flexibility. For safety, we rely on decent weather conditions when carrying out the crossings. Therefore changes in planned itinerary will not be uncommon and will add to the uniqueness of the tour.

3. Getting to the Start Point
It is your responsibility to get to the start point at the correct time. We will of course provide assistance where possible as well as putting you in touch with other members of the group to make travel arrangements etc.

4. Holiday & Activity Insurance
You must be covered by insurance, which must include adequate cover for baggage, medical expenses, cost of repatriation should you become too ill to continue. It is also essential that you are insured for the activities that you wish to do on the holiday. If you are an EU residents travelling to other EU states,  you should also take an European Health Insurance Card with you. We can advise on specific policies which would be suitable.

5. Trip Descriptions & Prices
The trip descriptions, prices and booking conditions in this brochure are accurate at the time of printing and published in good faith. However, due to currency fluctuations, rising costs and changing travel conditions overseas, SwimTrek reserves the right to modify the price and itinerary.

 

6. Payment

Please note payment of a deposit by credit card is not subject to a surcharge. However, if the final balance is paid by credit card this will attract a 1½% surcharge. To avoid this surcharge you can either pay by Debit card or mail a cheque to SwimTrek.

7. Final Payment Due Date

All final payments are due no later than 8 weeks before commencement of the trip.

 

8. Cancellation
If you or a member of your group wishes to cancel their holiday the following charges apply:


• 8 or more weeks               Retention of deposit

• Between 8 and 4 weeks    70%
• Less than 4 weeks             100%

All SwimTrek trips are based on group arrangements involving a minimum number of clients. If this minimum number is not reached, we reserve the right to cancel the departure and offer an alternative date or a refund of all monies paid by you. We cannot accept any liability for compensation beyond this full refund. SwimTrek cannot be held responsible for any changes or cancellations to your trip due to wars, threat of war, terrorism, industrial action, civil strike, airport closures or congestion, fire, technical problems, weather or any other difficulties beyond our control.

9. Medical Requirements
Good physical and mental health are essential for the enjoyment of these active, outdoor trips. By forwarding the Booking Form, the client certifies that he/she does not have any physical or other condition of disability that would create a hazard for himself/herself or other passengers.
It is essential that any participant with a medical condition requiring regular treatment or which may be affected by rigorous activity, cold, heat etc, notify SwimTrek in advance of travel.

10. Passport/Visa
A valid passport is required for all international travel with an expiry date of at least six months after your return. Please verify if you require a visa for the country to which you are travelling. All clients are responsible for obtaining their own visa.

11. Swimming Ability Levels
Participants joining our Adventure Swimming Holidays must read the Tour Summary and ensure that they have an appropriate level of fitness and swimming ability for the tour in question.

12. Your Financial Protection

In compliance with the UK Package Travel, Package Holidays and Package Tours Regulations 1992 an insurance policy has been arranged with Travel & General Insurance Company plc to protect customers’ prepayments paid in respect of

  • non-flight inclusive packages commencing and returning to the UK.
  • the ground handling aspects of packages where the customer is responsible for arranging travel to the destination offered in this brochure / literature / document / on this website (subject to the terms of the insurance policy), for:
  1. a refund of such prepayments if customers have not yet travelled.
  2. making arrangements to enable the holiday to continue if customers have already travelled
In the unlikely event of our financial failure.”
